Reporting to National Director of Business Development and Sustainability, the Donation & Logistics Assistant facilitates communication, coordination, and for the distribution of goods, corporate gift-in kind donations and municipal donor partnership donations between the Distribution and Recycling, Business Development and Sustainability teams internally. As the Donation & Logistics Assistant your focus is the provision of high quality, effective, and efficient customer service and reporting duties.

Job Duties


Written and Verbal Communication

• Ensure that donors are engaged in a professional and timely manner, including via telephone, email, and video

• Follow up donor leads to ensure that required internal stakeholders have engaged with donors

• Communicate with internal and external stakeholders

• Ensure that donors are recognized upon donation completion

• Maintain ongoing relationships with donors and re-engage with past donors to solicit for additional donations

• Coordinate with Distribution managers to prepare invoices for charity and other partners.

Administrative

•  Ensure up to date and timely entry into databases including, but not limited to, all donations for quarterly donation and drive reports, national drive and events calendar, individual donor tracking files

•  Ensure up to date and timely entry into databases including, but not limited to DRC national sales, purchases, and trailer tracking reports

•  Coordinate tracking of DRC-assigned property including vehicle cards and cell phones

•  Issue bills of lading for inter-district shipments and track shipments in process and confirm delivery

•  Consolidate GPS truck monitoring reports.

•  Support the processing of tax receipts by ensuring that required information is provided for receipts to be generated in a timely and accurate fashion

•  Process billing from charity partners

•  Assist with issuing pro-formas to determine sales forecasts for the DRCs

Financial Administration

•  Support the processing of tax receipts by ensuring that required information is provided for receipts to be generated in a timely and accurate fashion

•  Process billing from charity partners

•  Assist with issuing pro-formas to determine sales forecasts for the DRCs

•  Process payments from shipments from the DRCs

•  Participate in required audits

Skills and Qualifications

•  Completion of post-secondary/college certificate program

•  Minimum 2 years in a customer service and/or administrative setting.

•  Exceptional abilities with the MS Office suite, including Word, Excel, and Outlook.

•  Attention to detail, problem solving and analytical skills.

•  Strong sense of integrity and confidentiality with professional ethics and a balanced sense of fairness and flexibility.

•  Strong sense of urgency, able to manage competing projects and assess priorities effectively.

•  Experience with using MS Teams and PowerPoint would be an asset.

•  French considered an asset.
